Participants consent to allow OTC to store and process the information submitted and to provide participants with information about this programme in accordance to OTC Privacy Policy; accept the OTC Asia Energy Education University Programme Terms & Conditions; and agree to be bound by participants. 1. | Code of Conduct |
a. |
Participants will adhere to the programme schedule provided and attend all activities and meetings. |
b. |
Participants will be punctual in attending all scheduled activities and meetings. |
c. |
Participants must adhere to the dress code, which requires business attire during all conference and programme activities. |
d. |
Participants will adhere to the directions and advice of OTC Asia staff and group leaders. |
e. | Participants will be under the observance of OTC Asia staff and potential employers and will always conduct themselves professionally. |
f. |
Participants must respect and abide by the laws set out by the government of Malaysia. |
g. | If a participant is in breach of this code, OTC reserves the right to forfeit the participant’s participation before the end of the programme. |
2. | Travel Arrangements |
a. |
Participants will be responsible for all their meals and expenses during their stay in Kuala Lumpur. A cash allowance will be provided to participants onsite on Monday, 30 March 2026. |
b. |
Participants will be charged by the hotel directly to their personal account for any consumption of hotel mini bar items, laundry or any orders made through room service. |
c. |
Participants’ travel dates and housing will be arranged at the discretion of OTC. |
3. | Cancellation Policy |
a. | No cancellation is allowed after 30 January 2026. |
b. | Cancellation must be notified in writing to OTC Asia. Email your cancellation request to devactivities@otcnet.org. |
4. | Health & Safety |
a. |
Participants who have chosen to participate in this programme understand that OTC will implement, and participants agree to abide by all, preventative measures to minimise the spread of COVID-19 and any other communicable diseases if required by law. Notwithstanding OTC’s measures and participants’ compliance, participants acknowledge that OTC cannot guarantee that participants will not contract COVID-19 and/or any other communicable diseases. In exchange for allowing participants to participate at this programme, participants agree to release OTC, its employees, directors, officers and agents, from any claim or damages arising from or relating to COVID-19 and/or any other communicable diseases resulting from the participation at this programme. |
b. |
Participants agree to adhere to policy and procedures regarding COVID-19 to ensure the health and safety of all participants. These policies may include, but are not limited to, wearing a mask while on property, maintaining social distancing, and refraining from physical contact with other participants on-site. All rules and guidelines will be according to the local government’s regulations in which the programme takes place and the programme venue facility. |
c. | Participants who do not comply with the rules and guidelines will not be permitted to enter or remain in the programme/event venue. |
5. | Privacy Policy |

OTC cares about the protection of participants’ personal information. OTC complies with applicable privacy laws, including GDPR, in collecting and processing participants’ data. OTC’s Privacy Policy describes the information practices regarding how OTC collects, uses, discloses, or transfers the Personal Information that participants share with OTC or that OTC collect about participants when participants attend one of OTC events, visit OTC websites, or use the event mobile applications. 6. | Disclaimer |

OTC reserves the right to change the date(s), venue and/or to cancel the programme should circumstance beyond its control arises. |

OTC will not be liable to participants for any damages, costs, losses or expenses of any kind incurred or suffered by participants as a result of or in relation to OTC modifying, postponing or cancelling the programme or any part of the programme. |
c. | OTC reserves the right to qualify and set admission policies for all participants to ensure legitimate business and to ensure the safety of the event. |
